Job Description

Purpose
·         To manage and coordinate the general travelling needs of the Company.
·         Provide support to ensure the general maintenance of company’s premises including residential accommodation.
Detailed responsibilities
§  Handling of all travelling request, such as plane tickets, Hotel accommodation, car rental, etc.
§  Create, maintain, and update hard copy files for all travel activities, including review and preparation for annual audit.
§  Update and maintain the travel database.
§  Interface with staff travelers regarding their travel needs as well as the travel needs of partners and consultants.
§  Coordinate to provide trip itineraries to travelers.
§  Arrange travel insurance for all travelers, when needed.
§  Coordinate with Finance Department for proper travel costs allocation.
§  Monitor and ensure compliance with Company’s Travel Policy and Procedures.
§  Support all aspects of staff and VIP travel as needed.
§  Supervise the performance of service contractors to ensure they provide the expected service as mentioned in the contract.
§  Handles contract administration including responding to requests for variations and claims.
§  Handles the certification of invoices.
§  Performs liaison activities between Company-contractors/Suppliers to resolve all issues related to commercial and operative aspects.
