Overview of Role:

To support the Coordinator Fleet HR & Crewing, to ensure the smooth crewing operations and mobilization of crew members.

Key Responsibilities:

To assist the Coordinator Fleet HR & Crewing as directed and including the following:

• Communicate the crew changes to vessels, recruiting agents and port agents
• Support the Crew Coordinator to ensure that all mobilised Seafarers meet SMS recruitment and mobilisation criteria
• Ensure delievery and dispatch of documents dedicated to vessels
• Visit vessels and attend meetings as required
• Ensure that any SMS/VMS documentation deficiencies are brought to the attention of the Manager
• Support the welfare of crew and their families as required
• Participate in internal and external audits

Make and/or co-ordinating travel arrangements for joining and leaving crew in conjunction with travel department, recruitment agents, vessels and port agents

Ensure seafarer data is entered accurately into the system, so that up-to-date information is available at all times and the crew list updated

Make travel arrangements for on board employees to attend the office for interview or briefing and to ensure that such visits are properly documented

Requirements

Years of experience:

Previous Experience In Admisitration Is Essential

Experience in the maritime/travel industry is a plus

Essential qualifications and skills:

• Excellent written and spoken English
• excellent organizational and planning skills
• Excellent ability with Microsoft Office Applications; Outlook Excel/Word etc.
• Proven availlbility to work to, and meet tight deadlines
• Thorough awareness and good understanding of cultural and diversity issues
• The ability to work accuarately, precisely and with excellent attention to detail
