HR, Admn & Compliance Manager

PURPOSE:

· Seeking highly organized and proactive HR, Administration & compliance Manager in charge of Travel, Husbandry and Administration topics to oversee and streamline various functions within the Administration department. This person will manage a team of three to five employees (HR Admin, Office Admin, PRO, travel officer, etc) and ensure smooth operations in HR, travel, and husbandry activities. The ideal candidate should have strong organizational and communication skills.

JOB DIMENSIONS

· Managing a Team of 5 minimum

· Responsible for the preparation & implementation of HR, Travel and company policies

· Ensuring the lean management of day-to-day Travel, HR and subsidiary administration activities

· Strong interface with other Group entities (HR, Finance, Admin)

KEY RESPONSIBILITIES

1- Manage and Oversee Travel and husbandry Operations:

Supervise the flight ticket issuance process, ensuring tickets are booked efficiently and within budget. Control and track the pricing of travel tickets to ensure cost-effective solutions while maintaining company standards. Draft, issue, implement and enforce travel policies to ensure compliance with company guidelines and optimize travel expenditures. Supervise and oversee hotel bookings, visitors accommodation & transportation activities with approved subcontractors

2- Recruitment and Onboarding:

Oversee recruitment processes, ensuring timely and efficient hiring of employees in alignment with the company’s staffing needs. Monitor candidate selection (with head hunting companies), interview coordination, visas & insurance issuance and onboarding processes, ensuring a smooth integration for new hires.

3- Documentation & Team Management:

Ensure employee folders, HR folder, travel folder, husbandry folder, are well-organized and that all necessary documents (contracts, personal records, etc.) are accurately stored and updated. Maintain strict confidentiality of sensitive information and ensure compliance with relevant privacy and labor laws. Provide guidance, training, and support to team members to ensure high performance and efficient workflow.

4- Policy Development & Enforcement:

Develop and implement company policies regarding travel, HR practices, and employee conduct. Regularly review and update policies to reflect changes in regulations, and organizational needs.

5- Event Planning and Coordination:

Organize company events, including boards, meetings, and team-building activities, ensuring seamless logistics and execution.

6- Compliance, Reporting and Certifications:

Ensure that all travel and HR processes comply with relevant local and international regulations and company policies.

Prepare and submit regular reports on recruitment, travel expenditure, employee compliance, and general administrative activities. Regularly evaluate current systems, processes, and workflows within HR, travel, husbandry, and administration to identify inefficiencies and implement improvements.

Coordinate with HQ to ensure the successful implementation of ISO certifications (e.g., ISO 9001, ISO 14001, ISO 45001, etc.).

Act as a liaison between the local office and HQ to align certification processes with corporate policies and standards.

Monitor progress and ensure all certification activities meet required deadlines.

7- Office / subsidiary administrative support:

Oversee PRO activities and liaise with Dubai Airport Freezone authorities to ensure smooth follow up of requests like (parking spot requests, E-Wallet top-up, license-related administrative formalities, portal management, employee onboarding & visa issuance process, etc.)

8- IT support:

oversees the day-to-day operations of the IT team, ensuring the smooth functioning of all IT systems, managing IT technicians, and supporting the organization’s technology needs.

REQUIREMENTS:

· Bachelor’s degree in human resources, Administration, Business Management, or related field.

· Minimum of 10 years of experience in HR or administration, or travel management, with at least 5 years in a leadership role.

· Strong knowledge of HR processes, travel coordination, and husbandry activities.

· Knowledge on legal & corporate

· Excellent organizational, problem-solving, and time-management skills.

· Proven ability to manage and motivate a diverse team.

· Exceptional written and verbal communication skills.

· Proficient in Microsoft Office Suite and HR software.

· Highly organized, detail-oriented, methodical, and thorough profiles are expected
